Guest Services Coordinator
Orbridge is seeking a dynamic and focused team member who is a self-starter, enjoys working independently and as a vital team member to serve as a new Guest Services Coordinator.

Orbridge, founded in 2008, is a rapidly expanding high-end tour operator that specializes in educational tours for small groups in unique destinations. We prioritize excellent customer service and quality travel experiences. Our primary client base includes alumni organizations from universities across the country, and we are expanding into new markets as we grow. The company office is located in Poulsbo, WA.
Job Overview:
The Guest Services Coordinator will report to the Senior Vice President of Sales and Guest Services. The individual in this role will provide impeccable detail-oriented support to the Guest Services team.
Key Responsibilities:
- Upload and record guest required travel documents into the database with keen attention to detail
- Process inbound reservation requests and perform necessary follow up to secure and process payments • Respond to guest calls and emails in a prompt manner
- Coordinate the sending of guest communications, including payment and guest reminders
- Assist with managing online forms, including those used to capture detailed guest information
- Coordinate with Guest Services Program Managers regarding individual guest needs in advance of their travels, including but not limited to documentation, flight arrangements and special requests
- Audit guest records in advance of tour departure to ensure all necessary information is received and processed
- Other duties as assigned
Qualifications:
- Able to use a computer and other office technology, PC experience HIGHLY preferred
- Proficiency with Microsoft Office applications • Impeccable attention to detail with accurate data entry skills
- Able to quickly adapt to new situations and pivot priorities based on guest and/or company needs
- Exhibits a positive and friendly demeanor in all guest interactions
- Keen listener with ability to address guest inquires and concerns
- Strongly developed team work skills
Experience and Education:
- Previous experience in a guest relations role (Strongly preferred)
- Knowledge and expertise of the travel industry (Strongly preferred)
- High school or equivalent (Required)
